Policies and Guidelines for University Catering Services
Who can place an order?
University Catering Services menus are available to university departments, student organizations and the general public. The menus have been designed to fit the needs of any budget or service expectation you may have. University Catering Services is available at any on or off campus location. Custom menus are also available at your request.
University departments ordering from the catering menus receive an 18% discount off the listed retail price.
Non-profit groups and government groups ordering from University Catering Services menus receive an 8% discount off the listed retail price.

Advance Notice
Place your order as early as possible. Every effort will be made to accommodate all catering requests.
- Place all orders atleast (5) business days prior to your event.
- Orders placed less than five business days in advance are not guaranteed to be accommodated.
- University department orders submitted less than three (3) days in advance will not be eligible for the 18% university discount.
- Place orders by phone, fax or email Monday through Friday 8am-5pm.
Orders received after 5:00pm are considered to be placed the next business day.
Guarantee Counts and Menu Confirmation
A final guarantee of attendance and confirmation of the menu is required 3 business days prior to your event. If no guarantee is given in this time frame, the estimated attendance count on your confirmation will be considered your final guarantee. Final guarantees can be increased up to 24 hours before your event. You will be billed for your final guarantee or the number served, whichever is greater.
Cancellations and Changes
Events or menu items cancelled or changed after the order request will be subject to the following changes:
- Cancellations/change five (5) business days or more prior to the event incurs no additional charge.
- Cancellation/change fewer than five business days from the event may result in additional charges, or may not be accommodated.
- Cancellation within 24 hours of the event will result in a charge of the full cost of the event.
Minimum Order
The minimum order for service outside the Student Union Building is $25 per order. Orders that do not meet this requirement will be billed the minimum $25 charge. The minimum order for buffet meal service is 10 guests. Orders that do not meet this requirement will be billed at the minimum of 10 guests.
Alcohol Beverage Service
- University Catering Services can provide full alcohol, beer, and wine service for your event.
- Prior notice of at least 30 days is required to ensure that proper licenses and permits may be obtained.
- The University�s alcohol beverage permit must be completed prior to the event and be available on site during the event.
- There will be a $100 license and set-up fee.
- Bar events sponsored by university departments, whether hosted or cash, require minimum sales of $50.
- Bar events sponsored by off-campus non-university organizations, whether hosted or cash, require minimum sales of $250.
- One bartender per 100 guests will be provided to service your event at no additional cost.
- Service times will end precisely at the agreed upon time on your order confirmation. Extension of this time frame at the event is not allowed.
- University Catering Services is to be informed if there will be any minors attending the event.
- Alcoholic beverages will be dispensed and served only from the designated dispensing area.
- Alcoholic beverages may not be removed from the specified event location.
- Food service must be ordered in conjunction with bar service. The minimum food order must be equivalent to $7 per person. Food options must be available at the start of bar services.
- All bar services must include an equal amount of non-alcoholic beverages available to guests.
- All policies and procedures as described in the Alcohol Beverage Permit Process at Boise State University (BSU 1700-A) must be adhered to.
Linens
University Catering Services provides linens for all buffet and dining tables when a full meal service is ordered. The food service cost must average $7 per person for linens to be provided at your event at no additional cost. Table linens are $5 per piece when the minimum $7 per person is not met.
Payment
University Catering Services will provide an order confirmation within two business days of your order request. All events require signature confirmation before services can be rendered.
- University department events will receive an invoice within one week after their meeting or event.
- P- Cards will be accepted for payment.
- Call University Dining at 426-2349 to apply a P-Card payment; a receipt will be mailed within 24 hours.
- Checks generated through Accounts Payable are also accepted. They require the following documentation:
- Required payment form with signatures
- Entertainment form
- Event Agenda
- List of attendees if less than 10 people at the event.
- Copy of the invoice
- University Dining Services does not accept department account codes but it will be referenced on the invoice for Accounts Payable.
- Non-University events require a credit card on file with the signed confirmation, which can be billed the day of the event.
- Departments with invoices past due (over 30 days) will not be eligible for the 18% discount.
- All events are subject to an 18% service charge and applicable sales tax except for university and non-profit groups. Service charge is optional for these groups.
- The Student Union does not recognize co-sponsorship between non-University groups and student organizations, university departments, educational organizations, or governmental agencies when the co-sponsorship seeks to reduce applicable costs for facilities or services. If an on-campus group or organization reserves for an off campus organization � off campus pricing will prevail.
Deliveries
All catering orders can be delivered. University Catering Services provides high quality disposable utensils and plates, as well as table linens. China service is available at an additional charge. Events not held in the Student Union Building are subject to delivery charges.
The event location must be unlocked and available at least 30 minutes prior to the event set-up time as shown on your order confirmation. It is the client's responsibility to ensure that the event location is unlocked. You are responsible for all University Catering Services equipment dropped off at event.
Any equipment lost or damaged by the ordering party will be charged at the replacement value on your final event bill.
Delivery charges are as follows:
- On campus delivery utilizing disposables - 10% surcharge of the total event cost
- On campus delivery utilizing china - 15% surcharge of the total event cost
- Off campus delivery utilizing disposables - 20% surcharge of the total event cost
- Off campus delivery utilizing china - 25% surcharge of the total event cost
Additional Information
- No outside food or beverage services are permitted on the Boise State University campus for meetings and events. The only exception is for personal lunches, office potlucks, or events outside of the Student Union Building that are less than $50.
- One staff person per 50 customers is provided.
- Additional staff is available at $25 per person.
- Prices are subject to change without notice.
- Due to Central Health Department service code, food at catered events is not to be removed from the event location.
